Policy on the Collection & Retention of Personal Data

The Aberystwyth Bibliographical Group collects personal data from its members for administration purposes: to notify them of forthcoming meetings and other activities of the group, and to collect subscriptions. As such it is subject to the General Data Protection Regulation 2018, which comes into effect 25 May 2018.

The personal data we hold consists of: names, home addresses, email addresses, telephone numbers and bank details (where these have been supplied). No special categories of personal data, such as ‘Sensitive Personal Data’, is collected or processed. Personal data is not transferred to other parties or outside of the EU. Personal data on members will be retained for the duration of an individual’s membership of the group plus five years (as experience has shown that members sometimes forget to renew their membership and wish to re-join and pay arrears at a later date). However, former members have the right to request that their personal data be deleted at any time.

Under the new regulations the Group has a duty to protect members’ data and act suitably if anything does go wrong. Members of the group have the right to access and update the data we hold about them.
